- Guide Newsletter | Sunshine Estates
SEPO Newsletter Guidelines (updated August 1, 2024) Print from here The purpose of the SEPO Newsletter is to provide information (dates, times etc.), about Sunshine Meetings, Activities and Events , including items/information related to the SEPO Board. It is also a great way to provide details about the various Sunshine Clubs/Organizations to the community , either as ‘first time info’ to some residents/renters or a ‘refresher’ to others. Information in each month’s Newsletter: May pertain – Primarily to what will be taking place during that same month . May also include information about – Something that may have just started up during previous months, i.e., Stained Glass Class. Something that will be taking place in future months, i.e., the Good Neighbor Day Golf Tournament (GNDGT). Provides the SEPO Board opportunity to address/update the community. May contain SEPO Communications-related information about emails, the website, etc. Gives you an opportunity to thank those involved in previous months’ activities. No personal opinions or commentaries will be published. If you have a question about whether an article can or should be published, please contact the Newsletter Editor at seponewsletter@gmail.com for verification. The Newsletter will be published monthly from October through March each year, on or before the first day of those months. PROCESS: The Newsletter Editor will email a "Newsletter Articles Due Reminder " twice a month for articles to be published the following month. The first email reminder will be sent on the 17th and the final reminder on the 23rd of each month. Articles to be published in the Newsletter should be emailed to the Women’s Club Newsletter Editor at seponewsletter@gmail.com before "End of Day" on the 24th of each month (September through February). The editor will notify the sender that his/her article has been received by replying - Received For Newsletter to the sender. If you do not get this reply within 36 hours, please contact the Newsletter Editor via text or phone call. Once an article is received, the editor will review it, and work with the sender (if required), to make any necessary updates or corrections to the article before it is published. When the Newsletter is ready to be published, the Newsletter editor will send it to the SEPO: Office (sepo.office@gmail.com ), where copies will be printed and made available in the Library. Enews Email Manager (sepoenews@sunshinecountryclub.com ), who will send it via email to current Residents and Renters of Sunshine property who have provided a valid email address to the SEPO Office. We will be having an outdoor, drive-by (walk-by, bicycle-by) Quilt Show. Please keep in mind that this is for Estates residents only and please keep in mind social distancing. With the new Cameron County rules, face masks are needed if you are outdoors. Also, keeping safety in mind, PLEASE DO NOT TOUCH THE QUILTS . The HOA Assessment Fee for 2023 will now be $1,410.00 for the year. This is a total increase of $45 over the prior year amount, which the Board is permitted to approve per the SEPO Covenants. NOTE: If you pay in full between now and Jan 20, 2023, you will receive a 2% discount, which will lower this fee to $1,381.80 for the year 2023. The Storage Lot rates will remain the same: Lots 01-12 & 301 are $165.00. Lots 401-414 are $181.50. Lots 101-114, 201 & 214, 601-613, 701-713 are $231.00. Lots 302-315 are $247.50. Lots 202-213 are $264.00. The Golf Course Improvement Fee of $25.00 for Golf Cart Permit will remain the same for 2023. Resale Certificates produced by the SEPO Office for $250.00 will continue to be collected. TX RE law requires this certificate be provided prior to the sale of all homes that have mandatory assessments. This fee will be collected by the seller prior to closing. It is in the Library. Toys For Tots – is the premier community action program sending a message of hope through the gift of a new toy to help bring the joy of Christmas to the less fortunate children. The mission is to collect new toys each year and distribute these toys as Christmas gifts to these children in our community. The Harlingen Police Department becomes familiar with these families, currently is collecting toys and hereby requests if anyone at Sunshine can please donate a gift ($10.00 or so). John Chajec, SEPO Board President addressed the group, thanking them for the support they provide the SEPO Board. He discussed efforts to cut costs and maintain the pool, and answered questions regarding golf course usage by those outside the Sunshine community. Susanne Ulrich led us in prayer. OFFICERS REPORTS Vice President Janis McFee stated she had sent out 2 get well cards and 2 sympathy cards. Minutes of the January 17, 2020 meeting was read by Glenda Wetherbee in the absence of Linda Almond Secretary. Minutes will stand approved as read. Treasurer Cathy Richmond presented the treasurers report of Income of $4821.36, and Expenses of $4022.85. Leaving a balance of $25,855.66. Report will be filed for audit. NEW RESIDENTS New residents present at today’s meeting were: Robin Fleiner, and Terry Mensing COMMITTEE REPORTS Lenore Combs reported on the Neighborhood Watch Activities. Books will be ready by the end of March for distributing. The Directory will be full of pictures of events and around the community. We need a volunteer to take over the Historian position. Mary Dronen described the position responsibilities as taking pictures of events and writing a brief description of the event. President Eileen Anderson thanked the group for all their support and for the opportunity to serve on the Board. NEW BUSINESS Linda Jones reported the purchase of a Hot Water Kettle Mari Tennant described the new Honor Wall representing those in our community who have served in the Military, as Police, Fire fighters and EMS. Lenore Combs made the motion to support the Honor Wall project by donating $500. Sally Hardy seconded the motion. Discussion ensued. Motion Carried. Lenore Combs made the motion that we give $1,100 to Neighborhood Watch to help with the recent expenses of new batteries for the AED of $28.00 and batteries for the Neighborhood Watch golf cart of $1,000 and new light for $82. Jean Eich reported that on March 1 at 4:30 p.m. we will have a Potluck Dinner to thank the musicians who we have enjoyed every Sunday evening. He announced that Valerie is off for 3 working days and Marion Young will be filling in at the office. The SEPO Board is working on the budget; one component will be evaluating current wages for SEPO employees. Nancy Luellen led us in prayer. Lenore Combs asked that a prayer be said for a local military member recently killed in combat. OFFICERS REPORTS Vice President Janis McFee stated that 2 get well, 4 sympathy and 1 thinking of you cards have been sent since the December 2019 meeting. The minutes of the December 20, 2019 meeting were read by Secretary Linda Almond. The minutes will stand approved as read. Vice president Janis McFee presented the treasurer report as submitted by Cathy Richmond. Total Income of $344.73, Total Expenses of $416.53 and the bank balance is $25057.15. New Residents New residents present at today’s meeting were: Genie Newsome, Deloris Pearcy, and Tracy Wagner COMMITTEE REPORTS Lenore Combs reported on the Neighborhood Watch activities. She announced the following: “Finger Lickin Chicken” was a big success. The code for the front gate has not been changed, to date. New lights and new batteries have been installed on the Neighborhood Watch golf cart. The January 20th Neighborhood Watch meeting is canceled due to the Winter Texan celebration being held on that date at the Harlingen Convention Center. Garage sales are being held on January 17 and 18th; anyone wishing to do a random patrol are encouraged to wear the Orange vests. Ambulances do periodic drive throughs to familiarize the drivers with the streets. Vickie Jones reported on the past and upcoming activities: New Homeowners party on January 13 was a great success; Marion Young reported there were 36 new homeowners present and thanked all members who volunteered to organize the event. The profit from this event was $735.68 A Valentine dance will be on February 14, 2020; the meal will consist of pizza, a salad bar and dessert. The cost will probably be $10.00; more information will forthcoming. The scheduled shrimp boil is still in need of a chairperson to head up the committee. Pam Lacy and Eileen Anderson will co-chair the Super Bowl Party on February 2nd. Share Nelson announced a “Back When” party will be February 22, 2020. More information will be announced in the near future. The new Activities Director, Sue Swidryk will be announcing a date and time for a planning meeting for developing the 2020-2021 activities. Marion Young reported 89 residents attended the Christmas dinner; the profit from this event was $284.73 Deb Robins reported the media / tv instructions for the equipment in Retzlaff Hall has been developed, is laminated and they are posted on the wall by the tv. Cathy Chajec announced the Woodworkers spaghetti dinner will be January 21 from 4:30 – 6:30 p.m. For the individuals who have signed up to furnish dessert they should have them at the hall by 2 p.m. on the 21st. Old Business For new homeowner orientation materials, the new Executive Board will pick up this project once the installation of the new officers has taken place. New Business Mary Dronen announced her resignation as Historian and requested someone to step up to fill the position. Also, she is co-chair of the Memorial Luncheon committee and is also resigning from that position. Lenore Combs suggested a committee be formed to fulfill the needs of these two positions. No action was taken. Deb Robins suggested a telephone be placed by the pool to be used for any emergency situation (use of AED, etc). This item will be placed in the SEPO Board suggestion box. The Winter Texan Appreciation Day will be held at the Harlingen Convention Center versus Casa de Amistad on January 20, 2020. The town of Combes wishes to involve our community more and more in their events such as National Night Out, Christmas Parade, etc. Upcoming activities: Marian Young announced the Christmas potluck is on December 25th; social time starts at 1:00 p.m. followed by the meal at 1:30 p.m. The New Homeowners Party will be January 13, 2020. The event is chaired by Denise Utterback and Carolyn Anderson. Social hour will be at 5:00 p.m., dinner at 5:30 p.m. followed by music with a DJ and a hat parade. The cost will be $10.00 per person. Carolyn Anderson made a motion, seconded by Lassey Dahlstrom to not purchase a new stove. The motion carried. Sherri offered to provide instruction on safe and correct usage of the stove to anyone and particularly chairpersons of events which required its use. Cathy Chajec sent an email reporting on the Thanksgiving Dinner. 120 people attended and positive feedback was received from the attendees. This activity raised $336.68. Cathy also stated the Woodworkers spaghetti dinner is scheduled for January 21, 2020; tickets will go on sale on January 6th. Marian Young reported on the Craft/Bake Sale. The number of donations was down compared to previous years and indicated there may need to be consideration of a different date next year. The amount of money raised from this event was $1198.10. Lassey Dahlstrom stated the You, Me and Alexa program on March 7th will consist of 2 parts. Part one will be singing, dancing, magic, etc.; Part two will be the video of Sunshine activities. Janis McFee announced she will be taking photos for this program between 10 and 11 a.m. on December 21 on the streets between Minnesota and Michigan. Carolyn Anderson presented the Nominating Committee report. The nominees are Marian Young for Vice President (4 year commitment), Treasurer, Diane Tewell (2 year commitment) and Secretary, Glenda Weatherbee (2 year commitment). There were no nominations from the floor nor was there any opposition to the named nominees. The nominees were voted in by acclamation. Old Business Deb Robbins was not present to discuss the development of instructions for the media / TVs in Retzlaff Hall. Lorraine Lewis was thanked for requesting the SEPO Board purchase additional microphones; they approved the purchase but as of this date they have not yet arrived. Beth Parrish indicated the committee working on the photo directory project, with her guidance as needed, will develop the guidelines for the digital/web based directory. New Business There is a need to evaluate and update the Newcomer Orientation information. This will be discussed by the Women’s Club Executive Committee to determine further action. (Report attached) New Residents New residents present at today’s meeting are: Janet Peterson and Sharon Ridlon COMMITTEE REPORTS Lenore Combs reported on the Neighborhood Watch activities ; the next Neighborhood Watch meeting will be November 18th at 3:00 p.m. She announced the following: A program on “Stop the Bleed” and a review of use of the AED will be presented at that meeting. The Golf Cart Parade, in conjunction with Encore RV park, will be on December 7, 2019. Details will be forthcoming. Vendors and contractors are required to get an orange card from the office if their company name is not displayed on their vehicle(s). Since the June flood many workers and contractors have been used to complete repairs; if you are satisfied / happy with their work have their name added to the Mr. Fixit list. On January 10, 2020 the “Finger Licking Chicken” will be prepared; details will be forthcoming. The Police Department is encouraging everyone to complete their Personal Inventory list. The Winter Texan Appreciation Day will be held at Casa de Amistad on January 20, 2020 Vickie Jones, Activities Director , reported on the following: Thanked the committee members for the Octoberfest party; this activity made $980.00 for the Women’s Club. She announced that Dr. Leibert’s group will present a program/music in Retzlaff Hall on December 16, 2019 at 7 p.m. She encouraged members to sign up for the upcoming activities which are posted in the library. Cathy Chajec announced that the signup sheet for Thanksgiving Dinner is posted in the library; follow the instructions for using the virtual tickets. The committee will meet after completion of today’s Women’s Club meeting. No one was present from the committee evaluating the pros and cons of the current kitchen stove versus purchase of a new one. Lassey Dahlstrom was not present to report on the progress of the video presentation, You, Me, and Alexis. Old Business Terry DeBackere and Sue Swidryk volunteered to work on the Photo Directory. Beth Parrish indicated once the project is complete, she will post it on the SSCE website. Beth also reminded the members that she has sent an email requesting email addresses for several residents and asked for anyone to help getting that information back to her. New Business Members of the Nominating Committee were announced by President Anderson; they are Carolyn Anderson, Pam Lacy and Denise Utterback. Concern was expressed regarding a lack of microphones for use during meetings. Motion was made and voted upon and passed by majority vote that the SEPO Board be contacted regarding purchasing additional microphones. Lorraine Lewis volunteered to contact a Board member for this request. Lorraine Lewis announced that for Friday November 29, 2019 bell ringers are needed for Salvation Army donations at Walmart; a signup sheet was circulated to the members present. President Anderson received a request from the SEPO board to purchase four (4) sets of shuffleboard equipment (cues and discs); with a 10 percent discount the cost of 4 sets would be $600.00. A motion was made to donate $100.00 towards the purchase of this equipment; the motion failed to pass. A second motion was made, seconded and approved by a majority vote that the Women’s Club donate $600.00 towards the purchase of said equipment. Per Marion Young, this activity will be every Wednesday at 6:00 p.m. It was stated that detailed instructions are needed for operation of the media system in Retzlaff Hall. President Anderson will contact Wade Prater to see if he would be willing to develop these instructions. Terry DeBackere announced the Craft / Bake Sale will be December 7, 2019 from 8:00 to 11:00 a.m.in Retzlaff Hall. The baked items are due the evening of December 6, 2019 and they should be wrapped and labeled. Heidi Dill announced the next Crafty Creations will be December 4, 2019; members must pre-register in order to participate; the cost is $50.00. Jean Eich announced that a signup sheet for serving ice cream at 7:00 p.m. for Sunday night music is posted in the library; the Eich’s will continue to purchase the ice cream. Jean Burgoine said a new boom box that uses CD-R writable discs is needed for the swimming pool exercise activity. She also announced the following: Neighborhood Watch is continuing and Linda Jones is the contact person for scheduling. Vendors and contractors must report to the Office for orange cards, to confirm they are doing work for a resident in our community. Red Envelopes are the new way to keep your history current for you and your pet. Save the date: Saturday, December 7, Golf Cart Parade. Breast Cancer Awareness Walk Saturday: October 26 starting at 9 am. The Combes PD needs a few volunteers to help with the event. Vickie Jones reported that there are many activities that still need co-chairs and volunteers. So please talk to your friends and sign up for an event. The Goofy Golf scheduled for November will be cancelled for this season because the co-chairs will not be here until after Christmas. Eileen Anderson and Vickie Jones will be in charge of the Oktoberfest party on October 30. Lassey Dahlstrom reported that the video presentation “You, Me and Alexa” is in the works and will hopefully be completed soon. OLD BUSINESS Photo Directory, no one volunteered to take this on. We needed to vote on an updated amendment to the WC Bylaws for Article V, Section 4, regarding an annual audit of the treasurer’s books. The proposed amendment would read: …official audit to be conducted on March 1st of each year and in the event the treasure changes, at the time the books are transferred to the new treasure. A motion was made and voted upon and passed by majority vote. NEW BUSINESS Bonnie Fransene, President of the Women’s Golf stated that league play would start November 6. The fee is $25.00 for the year. The women play every Wednesday morning at 9 am. There is no sign up, you just need to show up at 8:30 by the office and teams will be assigned. SEPO Informational Meetings – there was discussion as to how we felt about the change in the informational meetings not being open to all the residents. A vote was taken that a letter should be written to the SEPO Board encouraging them to have open informational meetings, so we keep the lines of communication flowing between the board and the residents. The bird count is held throughout the U.S. It is an attempt to monitor the numbers and types birds found in the United States. Our club has been assigned a specific area to monitor. We will assemble in front of the Warner's house (4117 N. Minnesota) at 7 a.m. to divide into groups. A knowledgeable birder will be assigned to each group. He or she will need a notetaker, and counters to assist. There will not be lots of walking in this activity. Join us if you are interested. From SEPO E-News (01-03-19): If you are interested in joining us for the Annual Bird Count, meet at the Warner's house (4117 Minnesota) at 6:45 on Saturday, January 5th. We will divide into groups and head out to count all the birds in the area. Each group will consist of an expert in identifying birds, spotters and counters, and a recorder. No expertise required in 3 of the four positions. We hope to see all of you at the pot luck. He should be an interesting and informative speaker. This event was not planned as a fund raiser although donations will be accepted. Plates, plastic eating utensils, tea and coffee will be provided. There will not be a sign up sheet. We want everyone to come for an evening of fellowship and to learn about the wildlife of South Texas. Just show up with your covered dish. Doors open at 4:30. A team list, for a Guy and a Doll who already know they will play as a team, and fees will be tendered immediately upon signup. The second and third (unmatched) lists will include space for phone numbers so that teams can be arranged by the individuals. Fees will not be paid until a team is established and the ‘team’ list is signed, and names scratched from the ‘unmatched’ lists. Dinner and awards for CTP and score will take place on Saturday (March 23), early evening. The food served, (pre-plated buffet style) will be provided by Dave's BBQ on Commerce street. It would be a good hobby during very hot periods of time. You do not have to have any previous rock painting, or any painting talent at all. Have you noticed painted rocks by the mailbox entry? I left them for anyone that would want them. They are always gone the next time I go check our mail, and leave another rock. I've received feedback for a couple of the rocks I left there. One is on its' way to WI by a Sunshine resident. If you are interested, please let me know by contacting me per my information below. Depending on interest, or not, I will be providing further details on how this would work. Eileen Anderson President Sent 2019-10-12: SEPO RESIDENT COMMUNICATION - The question has always come up “How do we communicate to the board if we can’t talk at the meeting and/or “Why can’t we go to the board meeting?” All board meetings per SEPO bylaws and Texas state law are open meetings and anyone can attend. It is unproductive to have open discussion at the board meeting. The SEPO board adapted the policy, for speaking at a meeting, that has become common practice across the country. Anyone can submit a written request to speak on an issue at the meeting. During the remainder of my term, I will accept any request, written or oral submitted the Friday before the meeting. In the case of the upcoming meeting, the deadline would be Friday, Oct 18 th. Please include your issue to allow me time to possibly prepare a response or solve the issue before the meeting. Suggestion box: Located next to the window in the office is a suggestion box for your ideas, thoughts, complaints etc. If you sign your suggestion you will receive a response.The nature of the “suggestion” will determine whether it will be read at the board meeting. There are 3 suggestions from April, which definitely deserve researching. I apologize we have not responded sooner. All the above are “formal” means of communication. We are a small community; everyone has access to the resident address sheet/directory and the resident e-mail list. And for me personally, that means it's time to think about the Oct 2023 Sunshine Newsletter. Yep, that's right, you all need to start thinking about those great articles you are going to be composing and sending to me, the once-again Sunshine Newsletter Editor. Normally you will be getting Newsletter Reminders on the 17th and 23rd of each month from September thru February. But since this is the first edition of the season, I'm giving you an early reminder. I spent part of Saturday reviewing and making some slight updates to the Newsletter Guidelines. The updated document is available on the website HERE . Again, I’m thinking this first Newsletter in particular, would be a great opportunity for everyone who manages or participates in one of our clubs (like Women's Club or Rock Painting) or activities (like Golf) to ‘get the word out’ about them. I’m hoping that you provide the following types of information for this Newsletter, in addition to the normal Activities info for the month of October: Club/Activity Name Contact Name(s) Is there a Board? Do you ‘meet’? If so, where and when? Are meeting minutes, etc. provided? General Description. Some of this info is on the Website (but may need to be updated ) HERE AND HERE . What needs to be updated/corrected on these pages? What else can be displayed on these pages? What additional pages do we need/want? This is a perfect opportunity: For you to review and become more familiar with the Website . For me to get the Website updated with current and correct info. There is a high end hibachi restaurant that does events in communities. They would bring the tables, chairs, plates, utensils, food, chefs, they would cook the meal at the table in front of us and they would do all of the cleanup. Just an idea.. It will probably take two (2) days. The course will remain open; however, some of the holes will be closed while work is being done. Also, the greens will be a little rough. This is all based on weather permitting. John & I cannot look after both facets, so we will need Program help and a Potluck committee. Lenore will keep in constant communication. Everyone is cordially invited to assist & participate. In the past, our Sunshine Memorial Day Program generally included a Golf Cart Parade, a small quality Memorial Day presentation at the Gazebo, followed by a break so folks can get their dish and then return for the Potluck. We have been fortunate to date, but it may not last forever. I would suggest watering your lawn no more than 3 times per week, less is even better (mine is once a week and I've never had an issue). If there is any measurable rain, please hold off watering. If you need help resetting your sprinkler timer, let me or a SEPO employee know, and we will help. If you need a moisture meter to see how your lawn is being affected with less watering, let me or a SEPO employee know, and we will let you borrow one. Sally Dronen led us in prayer. OFFICERS REPORTS Vice President Janis McFee reported 7 get well cards, 2 sympathy cards and 1 thinking of you card have been sent since the February meeting. The minutes of the February 15, 19 meeting were read by Secretary Linda Almond. The minutes will stand approved as read. Cathy Richmond presented the treasurer’s report stating Total Income as $6168.60, Total Expenses of $5536.93 and the bank balance is $26,155.40. The report will be filed for audit. New Residents There were no new residents present at today’s meeting. COMMITTEE REPORTS Lenore Combs reported on the Neighborhood Watch activities; the next Neighborhood Watch meeting will be March 18th at 3:00 p.m. She announced the following: There will be a class on “active shooter” in the future; details will be announced at a future date. AED maintenance tests have been completed. Best practices for the Vendors program are being reviewed. A new form has been designed for personal medical information to be placed in a red envelope; this replaces the Vial of Life form; this will be proposed to the SEPO board at a cost of approximately $90.00. A South Texas All Hazards Conference will be held March 27-28 in the McAllen Convention Center. Vickie Jones reported on the following: The Ronald McDonald charity dance held last night has netted $1400 with more donations coming in. A planning meeting for activities for next season (October 2019 through March 2020) will follow this meeting; the planned activities need to be presented to the SEPO Board next Monday. Casino Night Report: Dale Hopfner and Sherri Gardener thanked everyone for their participation in Casino Night; they noted this activity has generated over $20,000 over the past six years for the Women’s Club. Old Business Deb Robbins stated the Media System is installed and functional; information and instructions for use are on the SEPO web site. She indicated that if deemed necessary tan covers for the TV’s can be purchased for approximately $30.00 each. President Anderson thanked Deb and her committee for working on this project. Lassey Dahlstrom continues to work on the video presentation of SSCE activities. There will be another committee meeting next Wednesday at 4:00 p.m. She stated it is an evolving project and hopefully it will be completed on the target date of March 2020. New Business Last month there was an inquiry regarding developing a SEPO photo directory; to date, volunteers for a chairperson and committee members have not come forth.. A member inquired about purchasing a Fire Pit; it was determined this would be a SEPO Board decision. An amendment to the Women’s Club bylaws for Article V, Section 4 regarding an annual audit of the treasurer’s books is proposed. The current bylaw reads…books shall be available once a year for an official audit; the proposed amendment to the bylaws would read: …official audit to be conducted on March 1st of each year and in the event the treasurer changes, at the time the books are transferred to the new treasurer. This amendment will be voted on at the October 2019 meeting. Concern was expressed regarding the kitchen stove/oven. Several members stated they were afraid to use it and didn’t feel safe using it. A motion was made by Marge Lehman and seconded by Karen Peterson to form a committee to develop pros and cons of keeping or replacing the current stove. Mecca Henry volunteered to chair the committee and Sherri Gardner and Linda Jones volunteered to serve on the committee. A motion was made by Mary Hendricks and seconded by Linda Jones to purchase 3 additional pool lounge chairs; the cost would be approximately $300.00 per chair. Motion carried. Helen Perry stated the 2 large heaters do not work; this concern should be placed in the suggestion box as it is SEPO’s responsibility for authorizing repair work. Members voted to post the minutes of the Women’s Club meeting on the SEPO web site as suggested by Beth Parrish. Linda Jones announced clear cups have been added to the kitchen inventory. Share Nelson announced there is a benefit luncheon for Loaves and Fishes on April 2nd; the cost is $45.00. A gift was given to the individual randomly selected for wearing her name tag (Shirley Vickers). There being no further business a motion to adjourn was made by Cathy Chajec and seconded by Lenore Combs. The meeting adjourned at 10:00 am. The minutes of the January 18, 2019 meeting were read by Secretary Linda Almond. The minutes will stand approved as read. Cathy Richmond presented the treasurer’s report stating Total Income as $2097.00, Total Expenses of $2098.88 and the bank balance is $25,523.73. The report will be filed for audit. New Residents There were no new residents present at today’s meeting. COMMITTEE REPORTS Lenore Combs reported on the Neighborhood Watch activities; the next Neighborhood Watch meeting will be March 18th. She announced the following: The front gate code will change to 0214# Encore Neighborhood Watch is releasing the chain for special events; however unauthorized individuals messing with the chain could be charged with criminal mischief. Concern was expressed about golf carts, autos, etc. in violation of the one way traffic sign; there has been an initiation of police involvement for this infraction. Guest tags are available for visitors as well as vendors. All Hazards Conference will be held March 27-28 in McAllen. Harlingen Citizens Police Academy class will be coming soon. Vickie Jones reported on the following upcoming activities: New Homeowners Party and the Art Show were great successes. Deb Robbins and Tiffany Prater are chairing the March 14 party; they have decided to not have a potluck; the dance with Wade Prater’s band will be from 7 - 10 pm. A good will donation will be taken for the Ronald McDonald house. More information will be forthcoming. There will be a St. Patrick’s Day party on March 17 in the pavilion; more information will be published in the future. Dale Hopfner stated the Casino Night is sold-out. Check SEPO emails for individuals offering tickets for private sales. Old Business President Anderson announced that 2 70 inch TV’s will be purchased Monday for mounting in Retzlaff Hall. Lassey Dahlstrom continues to work on the video presentation of SSCE activities. She stated it is an evolving project and will extend into next year. New Business Jean Lawrence brought up a concern regarding the Memorial Book and Board; the names are placed in the book / board IF money is donated in that individual’s name. It’s been discovered that 7 out of 18 names were not included in the book due to no money donated in memory of the individuals. Jean Lawrence made a motion that the Women’s Club donation of $5 so the names can get in the book. Motion seconded by Sue Stinnet. Jean then requested to amend her motion and recommended publishing the deaths in the SEPO newsletter as a means of tracking the names and the Women’s Club give a donation of $50 at the end of the year so names can be entered in the book. Cathy Chajec seconded the motion. Motion carried Linda Jones distributed a list of 5 different sweeteners stored in the pantry; members were asked to indicate their preference and hopefully the inventory can be decreased. Waynette Kennedy inquired about the possibility of having a photo directory; this topic was tabled and will be discussed at the March meeting in anticipation of developing a committee for this project. Heidi Dill brought a sample of some of her crafts and polled the members present if they would be interested in forming a Crafting Club; she’s looking at 2 hour sessions one time per month. Many members present indicated by raise of hands a high interest in this activity. Linda Abernathy is resigning her position as editor of the SEPO newsletter. Beth Parrish volunteered to take the editor position after Linda’s resignation date is final. Karen Baase announced there will be a memorial service for Joe Millsap on Wednesday, February 20th at 11:00 am in Retzlaff Hall. A gift was given to the individual randomly selected for wearing her name tag (Kay Sluyter). There being no further business a motion to adjourn was made by Lois Humburg and seconded by Nancy Luellen. The meeting adjourned at 10:00 am. The report will be filed for audit. NEW RESIDENTS New residents were introduced; they are: Debbie Ciotti Geneva Carr Florence Parrish (renter) Judi Cripple Carol Breneman COMMITTEE REPORTS Lenore Combs reported on the Neighborhood Watch activities; The next Neighborhood Watch meeting will be moved to January 28. She stated the date change is to allow residents to attend the Winter Texan Appreciation festivities on January 21 from 1-5 p.m. at Casa D’Amistad. Lenore also outlined the agenda for the January 28th Neighborhood Watch Meeting. Vickie Jones reported on the following upcoming activities: New Homeowners Party is Tuesday, January 22; the cost is $10.00 per person. There are 18 new home owners and to date 120 residents have signed up to attend. Vickie distributed a “Wish List” for donations to the Ronald McDonald House in Harlingen which lists a variety of items need to support this charity. Grace Clark made a motion that the Women’s Club donate up to $5000.00 to this charity; motion seconded by Sylvia Nelson. Discussion followed; a vote was taken with only one vote in favor and all other members opposed. The motion failed to pass. The March Mystery Theater party has been canceled and will be replaced with a potluck dinner followed by Wade Prater’s band providing the entertainment. This is scheduled for March 14, 2018. Debbie Robins and Tiffany Prater will be chairpersons for this activity. Susanne Ulrich made a motion, seconded by Share Nelson, that a free will offering for the Ronald McDonald house be collected during this event. Motion carried. Vickie stated the art show “Young at Heart” will be January 26 from 6 – 9 p.m. and from 10 a.m. to 4 p.m. on January 27. There is no charge to attend; there will be a silent auction on Saturday evening. Kathleen Sunders stated 70 dinners and 6 to go dinners were provided for the Christmas Day party. The profit for the Women’s Club was $164.00. Pam Lacy reported that 118 tickets were sold for the New Year’s Day brunch; the profit for this event was $328.00; she thanked her committee for the success of this new event. Sherri Gardner reported on the Casino Party scheduled for February 23. She stated there is a need for donation of more prizes and also additional help is needed in the kitchen. Beer and wine, plus a dessert bar will be available during the night. She announced that she and co-chair Dale Hopfner will be resigning as chairpersons of this annual event and encouraged other residents to step up to this Women’s Club very profitable event. OLD BUSINESS Debbie Robbins reported on the research completed to date on upgrading a media system for Retzlaff Hall. She stated the sound system has been checked out and it does not need any upgrading. She stated that to install two 70 inch television sets with surround sound would cost approximately $3000.00. Discussion ensued regarding a problem with live streaming; its was noted that Spectrum would need to assist with this. Nancy Luellen made a motion to continue pursuing options available for installation. Motion carried. Beth Parish stated Lassey Dahlstrom continues to work on the video presentation of SSCE activities. All photos and videos should be forwarded to Irene Phillips. President Anderson thanked Terry Debackere and her “elves” for the beautiful Christmas decorations this past season. NEW BUSINESS Linda Jones announced that 2 new regular handle can openers and a bigger can opener for the large cans have been purchased; they are designed to be more “user friendly”. The minutes of the November 16, 2018 meeting were read by Secretary Linda Almond. The minutes will stand approved as read. Cathy Richmond presented the treasurer’s report stating Total Income as $3095.97, Total Expenses of $1786.95 and the bank balance is $25,301.81. The report will be filed for audit. COMMITTEE REPORTS Lenore Combs reported on the Neighborhood Watch activities; the next Neighborhood Watch meeting will be January 21. She asked for suggestions on how to improve the neighborhood watch program. The front gate code will be changed on Valentine’s Day and will be 0214#. She also talked about data being collected on speeding, non-stops at stop signs, etc. The information will be forwarded to the SEPO Board as they consider the pros and cons of speed bumps. Lastly, she distributed light activated bands to be worn when walking at night. Vickie Jones reported on the following upcoming activities: The tentative date for the New Homeowners Party is January 8; it will be chaired by Vickie Jones and Eileen Anderson. The art show “Young at Heart” will be January 26; Items will be for sale and there will be a silent auction. Vickie also indicated the Ronald McDonald house is in need of donations; Vickie has a list of needed items and she will bring more information to the January meeting. She received a request from Lupe that when the stove/oven in the kitchen and the grill are used, they need to be cleaned immediately after use. Janis McFee announced a $50.00 donation from Goofy Golf activity was donated to the Women’s Club. Mary Hendrickson stated 108 residents were present for the Thanksgiving dinner. There was no report from the Leslie Blasing concert; members present indicated it was well attended and enjoyed by all. Jane Olson announced the December 15th Bake Sale / Craft Raffle was well attended and resulted in successful sales in the amount of $1419.45. Lenore Combs spoke briefly about the Golf Cart Parade and Cookie Contest. She thanked her Santa’s Elves and announced the winners for cookies and golf cart entries. First, second and third prizes were awarded. (Report Attached) OLD BUSINESS Lorraine Lewis stated 44 residents participated in the Salvation Army Bell Ringing; This year’s collections exceeded last years with intake of more than $1300.00. Beth Parish stated she has not started on the work for the media system; she will have a committee meeting after the 1st of January. Lassey was not present to discuss the video production; residents were encouraged to look for good pictures to forward to her. Vickie Jones talked about the pool chairs; by turning the fabric over, the foam that retains water can be removed. It is suggested that be done and then in the future set a timeline to replace the chairs in the next few years. NEW BUSINESS Vice President McFee requested that residents who become aware of residents needing cards for illness, sympathy, etc. send the names to her and Cathy Richmond. Beth Parrish encouraged members to put suggestions on which streets they would like speed bumps in the suggestion box located in the office. She also stated the resident directory is up and running on the SEPO web site. Pam Lacy encouraged residents to attend the New Year’s Day Brunch; the food will be furnished by the committee and in addition to food they have fun activities planned. Dale Hopfner reminded the members that the Casino Night committee would appreciate donation of prizes. Tim Elliott requested the announcement be made regarding a meeting on January 2 at 5:30 pm at City Hall regarding proposed plans for Tony Butler Golf Couse and encouraged SEPO residents to attend. Aida Leach, current resident on Missouri, was introduced as it was her first attendance at Women’s Club. COMMITTEE REPORTS Lenore Combs reported on the Neighborhood Watch activities; the next Neighborhood Watch meeting will be November 19. She also spoke about the upgrade to the McGruffmobile; asked for someone to assist with the monthly maintenance of the Neighbor Watch generator and announced the Stop the Bleed kits are located in the woodshop, Manny’s work area and the SEPO office. (Report attached) Marsha Santow reported on the Shrimp Boil held on October 27, 2018. There were approximately 30 less attendees than last year; the profit was $657.02 . Lenore Combs stated the Veteran’s Day program and potluck was a success and thanked Carolyn Clements and Helen Perry for their presentations. Vickie Jones reported the following on upcoming activities: Two events, Christmas Dinner, and the New Homeowners Party, are in need of volunteers for chairing these events. Goofy Golf is scheduled for November 18 and the Leslie Blasing Concert is scheduled for December 6th from 6 – 8 p.m. The posters for every event are to remain on the bulletin board even if the event has concluded. Janis McFee announced Goofy Golf is planned for Sunday, November 18 at 2 p.m. 100 players have signed up; there is a “spare list” posted if a space opens up. The “bring your own picnic lunch” will be at approximately 4:30 p.m. Mary Hendrickson stated between 65– 70 have signed up for Thanksgiving dinner. She stated turkey, ham, gravy, stuffing and drinks will be furnished. Doors will open at 1 p.m. and dinner will be served at 2 p.m. Mary Dronen – Announced the Memorial Committee provided 6 lunches this year. For the historian book, she would like to have photos of summer activities forwarded to her. Dee Novak noted that more information on the December 6th Leslie Blasing Concert will be forthcoming. Jane Olson announced the Bake Sale / Craft Raffle will be on December 15th; the doors will open at 8 a.m. So far, only 3 have signed up to help so there is a need for more volunteers. The baked goods should be packaged and priced. Crafts can be set up Friday night. She requested gently used items be donated for the raffle. Lenore Combs said the Golf Cart Parade will be December 15; staging will be at 4:30 and the parade will start at 5 p.m. The parade will go down every street here. At this point Encore will not be involved however Lenore and Helen Perry volunteered to work on this with the SEPO board. OLD BUSINESS Irene Philllips stated she now has help with watering the plants at the front gate. She has researched a “drip” system which would cost about $200.00. After discussion Vickie Jones made a motion to form a group of volunteers to further investigate how to work on solutions to improve the décor. Motion was seconded by Sherri Gardner. Debi Warner volunteered to serve on the committee and a suggestion was made that Ralph Peterson be approached to assist with this project. To volunteer, contact Irene Phillips. Lorraine Lewis requested that SSCE residents please adopt angels for the Christmas Angel Tree. The angels can be procured at local businesses or contact Lorraine and she will get them for you. NEW BUSINESS President Anderson discussed the issue of the pool lounge chairs; they are 5 years old and are in need of repair. The estimated cost to repair is $45 per chair and replacement is approximately $185.00. Repair would probably last a year or so. President Anderson and Vickie Jones volunteered to conduct a cost analysis for repair and replacement. Joyce Smith reported on Ladies Golf; dues are $25.00 and she encouraged more women to join. The Las Vegas scramble will be December 8th followed by a potato bake. Cathy Richmond announced a request for a microwave oven on a cart for Thursday Night Happy Hour. Kay Sluyter donated her microwave; a cart will need to be purchased as the current number of carts are needed for events in the hall. Discussion was held on the need to update the media system for Retzlaff Hall. A motion was made by Pam Lacy to have volunteers investigate options; The motion was seconded by Sally Hardy. Beth Parrish volunteered to chair the committee; Lassey Dahlstrom volunteered to serve on the committee. Lassey Dahlstrom would like to put a video presentation of all activities SSCE together; She will have a meeting at her house on November 20th at 2 p.m. Irene Phillips volunteered to help and it was suggested Warren Hertel be invited to attend. Beth is also taking over the SEPO Web site (www.sunshinecountryclub.com ) for marketing purposes and updating the activities tab. She is working on inclusion of the SEPO board minutes which would be private and only accessible to SSCE residents. Jan Anderson announced that Mahjong is scheduled for Saturdays from 6:30 to 8:30 pm in the Library and Tuesdays from 1 – 3 p.m. in the card room. She indicated attendees could dress up for Halloween if desired. Social hour starts at 4:30 p.m. with dinner at 5:00 p.m. President Anderson reported for Vicki Jones on upcoming activities: Veteran’s Day will be honored on November 12; Lenore Combs stated the flag burning will be at 4 p.m. and veterans are needed to help with colors. Lenore will be working with other residents relative to having a potluck after the Veteran’s Day ceremony. Janis McFee announced Goofy Golf is planned for Sunday, November 18 at 2 p.m. The contest will be in the same format as the previous contests. A “bring your own” picnic lunch will be held in the pavilion at approximately 4 p.m. President Anderson announced the Thanksgiving dinner will be on Thursday November 22. Bob and Mary Hendrickson are chairing that event and details will be announced at a later date. Irene Phillips reported on the new garden area outside of the SEPO office and her activities related to caring for the plants and other greenery at the SSCE gate. Her report is attached to these minutes. Discussion ensued for using a professional landscaper for the front gate area; it was suggested this item be placed on the November agenda as there will be more residents in attendance to share their thoughts. It is likely if this avenue is pursued, the SEPO board will need to be involved in the discussion, and decision. NEW BUSINESS Lorraine Lewis spoke about the Salvation Army bell ringing that will be held at Walmart on November 23rd. She needs approximately 40 individuals to volunteer 1-2 hours from 9:00 am to 7:00 pm. that day. Sharon Schaub stated due to a change in leadership at the Salvation Army SSCE will not be participating in the Angel Tree giving at Christmas this year. Lenore Combs gave a presentation on Wreaths Across America. Harlingen will participate in this event which is scheduled for December 15 at 11 a.m. at Pendelton Park. SUNSHINE HEROES Wall of Honor (Started Jan 8, 2020) *************** Sent 2020-11-14: Sunshine Heroes Wall of Honor - Project Background - It was decided here at Sunshine that we would recognize our neighbors, not for a single act of heroism but their heroic service. We wanted to recognize the people from our community who made a commitment to give part of their lives for the benefit of others. This is what the SUNSHINE HEROES Wall of Honor represents. It is our way to recognize them and say thank you for your service. Last Spring in Retzlaff Hall, we unveiled our Sunshine Heroes Wall of Honor complete with their engraved names on an individual metal plate. There is also a Memory Book of photos of our heroes. This touching monument serves as a reminder that many of our residents sacrificed their lives for the freedom we enjoy today. (See picture below.) You may support this wall by completing an application and some brief information (form available at SEPO Office). We would like a photo in uniform. What is a Veteran? - whether retired, discharged, active duty or reserve – is someone who at one point in his or her life, wrote a blank check made payable to ”The United States of America” for an amount up to and including his or her life. (Author unknown) What Is A Hero? - Dictionary.com defines a hero as a person noted for courageous acts or nobility of character. A true hero is someone who gives of themselves for the benefit of others, sometimes at great personal risk. There are many in our community who have given parts of their lives in the service of our country regardless of the risk. There are those who have chosen a career of community service – Law enforcement, First Responders and Fire Fighters are examples. All these people have given freely of themselves for the benefit of others. These are a few examples of what we can all recognize as heroes, but we do not usually honor them for their service. If you save a person from a car accident or give CPR to someone you would be recognized for heroism. The person who donates blood to help others is a hero. A person who may donate an organ or bone marrow is a hero. Are these very special people any more heroic then the others who served us? In case you haven’t seen it, the wall is up in Retzlaff Hall and has 41 names on it. Those of you who have made a pledge for this project, I will be coming around this week to collect. I want to thank all those who have donated to this project both monetarily and with their time and labor. The applications are still available from Valerie in the SEPO office. When you complete your application return it to Valerie along with your picture. If you do not have a picture or prefer a current picture be sure to check the box on the form that you will need a picture taken. I will be contacting you upon my return in the fall to take a current picture for this book. Remember as we travel home to be safe and when you get there find your favorite picture of you or your spouse, in uniform or not, to be placed in the book that is placed with the display wall. I want to have this SUNSHINE HEROS display to represent all of the people who served. The service wall plans are moving along. The wall display is to recognize residents living and deceased where the surviving spouse or other relation resides within the estates. I will be available in the library on March 12, 2020 between 10:00 and 12:00 to take pictures and accept applications. If you have a picture I will be accepting them at these times. If residents want their picture or their spouse’s picture included on the wall they will need to fill out an application form. These forms are available in the office. Check with Valerie to get one, or see me. My information is below. She also has pledge forms available if you need one. The picture you provide for use will be copied and returned, please write on the application form so that I can return your picture. All name plates and pictures that are placed on the wall and in the book should remain there indefinitely. I want to inform our residents on the status of this project. The wall is installed and the name plates are ordered. Engraving is being done on 28 of the plates, as that is the amount of applicants we had when the order was placed. Additional plates will be engraved as we receive applications. The pledges that I asked for at the Annual Meeting are coming in with many neighbors preferring to make cash donations rather than a pledge. I am keeping an accounting of all donations and expenditures and will make it available for anyone to see upon request. It is hoped that the first name plates will be on the wall very soon. However, this is exactly the time of year that SEPO Election Committees get into gear. If you attended the Dec 19 Special Board Meeting or have viewed the video of this meeting, you are aware that I have volunteered to be the 2024 SEPO Election Committee chairperson and the Board voted unanimously to appoint me to that position. I have already been working on some of the upfront committee tasks. I have updated the Election Committee Guidebook, thanks to a collaborated effort of both myself and your SEPO Board President, Share Nelson. It is almost ready to present to the entire Board for their approval. I'm also working on a Project Plan of all of the tasks - from the smallest of small to the largest of large - that need to be performed between now and when I turn over the tallied vote count to the Board at the Feb 20 Annual Shareholders Meeting. So the next 'large' task for me to accomplish is to fill seats (so to speak) on the committee. I currently have five volunteers, some of which can only help part-time. I'm looking for 10-15 (and possibly more) people to do a variety of tasks, the largest of them being "Stuffing the Ballot Envelopes" sometime around Jan 14-15 AND "Counting Votes" between the 1 pm and 3 pm meetings on Feb 20. If you think you might be interested at all in helping me out, give me a call to discuss. If I don't get enough volunteers in the next few days, I'm going to start cold-calling.
