Newsletter: 2026-03, Election Committee Chair -  

SEPO 2026 Election Committee & Results:

I want to personally congratulate the Newly Elected 2026 SEPO Board members: Phillip Lay, Bill Petersen (with an E!) and Tracy Wagner. Also, congratulations to the Treasurer Assistant, Jeanne Boardman. She is a new resident and is already on the volunteer trail. And many thanks to those who are retiring from the 2025 Board: Randy Davis and Scott Kronshage. You served our community well. I know from personal experience being on the SEPO Board is not an easy ‘volunteer’ job, but it can be extremely rewarding.

I want to thank the many resident volunteers who assisted me on the 2026 SEPO

Election Committee. That work could not have been accomplished without you. We did come away with lessons learned again this year, which I will be working with the 2027 Election Committee chairperson to incorporate into the Election Committee Process Guide. That’s right, three years is enough for me as chairperson, although I’ve enjoyed it and have learned lots.

And finally, here are three ‘facts’ resulting from the 2026 election:

  1. There were three open Board positions and three owners who volunteered to run. Guess what, they all had at least one vote, so they were all elected to your 2026 SEPO Board. Congratulations again. (See the names above.)

  2. We had one proposed Covenants change this year. You can view it HERE. It was a super important vote. Hence, the campaign by lots of folks to get it ‘approved’. However, as you can see from the chart on the following page, it did not get approved. I am not positive, but I’m thinking you might see this ballot proposal again in the future.

  3. Finally, I thought it was important to point out, although the ballot submissions were slightly higher than I have seen in the previous two years, we still had 58 owners who did not bother to submit a ballot, which is an automatic NO vote. As our retiring Board president stated many times in the last couple of months. If you vote – and vote no – that is your choice. But if you do not bother to vote at all – why not?

 

It has been my pleasure again this year to support this great community by chairing this committee. Thx to everyone for supporting me. If anyone has any 2026 election questions/comments feel free to contact me anytime.

One FINAL (I think) reminder to vote in the 2026 SEPO Election.

If you have voted but DID NOT SIGN the 'Attendance Proxy' envelope, you need to come to Retzlaff Hall between 12:15 & 1 PM next Tuesday to 'sign in to the meeting'. We need a quorum (154) to count votes and hold the ANNUAL meeting @ 3 PM. 

 

Look for your Street Sign behind the card tables and Election Committee members will get you singed in.

 

Myself and other committee members will be counting signed Attendance Proxy envelopes from 11:30 AM to 1 PM. Please, if at all possible, don't wait until the last minute to vote. I need to report if we have a quorum at the 1 PM meeting.

Sent 2026-02-15: IMMEDIATE ACTION REQUIRED: ILLEGAL BALLOT FOUND ON FLOOR OF OFFICE JUST NOW -  

I was in the office just now and found a #10 envelope with the 'handwritten' word Ballot across the front of it lying on the floor. That envelope is not submitted according to voting instructions and if not corrected prior to 1 PM this Tuesday (I can assist you with doing that) it is considered a 'NOT IN FAVOR' vote for the ballot(s) that appear to be inside this envelope.

 

Your ballot(s) must be submitted inside of the #9 white envelope that has the word BALLOT typed on the front of it. Then the BALLOT envelope must be placed inside the #10 'Attendance Proxy' envelope and sealed. Both of these envelopes were included in your voting packet.

 

Would the person who left that on the Office floor over this weekend please call me immediately so I can work with you to get your vote submitted correctly, in order for it to be counted as you had originally intended. Again - right now it will be counted as a 'not in favor' vote along with 'no votes' for any of the Board Candidates.

Hi All - It's been a while since the 2026 Election packets were distributed to homeowners, so I thought I'd pop back in to all of your lives with a reminder about voting.

 

Thanks to everyone who has already voted.

 

For the rest, please deposit your ballot(s) into the locked Ballot Box that sits in front of the SEPO Office weekdays from 8 AM to 4 PM

 

prior to 1 PM on Tuesday, February 17

 

which is the day of the Annual Shareholders Meeting when your votes (PLEASE VOTE) are counted.

 

This is my third year as SEPO Election Committee Chairperson. I know in the past two years some of you have waited to vote until just a few minutes before (or even at) this 1 PM deadline. If at all possible this year, please submit your ballot(s) earlier than the absolute deadline (preferably prior to noon on Sunday, February 15), in order to make the lives of the Election Committee easier when counting 'attendance proxy signatures'. Who knows, you may be working on this committee in future years and absolutely appreciate this early voting request.

As we move through this time of year, I would like to share a few important reminders, beginning with our upcoming HOA vote.

Reminder to Vote

Voting is one of the most direct ways you can participate in how our community is governed. The decisions made through this process affect our shared spaces, property values, and the overall quality of life in our neighborhood. Please take a few minutes to review the voting materials that have been provided and be sure to submit your ballot by the 2/17/26 Deadline. Every vote helps ensure decisions reflect the voice of our community.

Newsletter 2026-02: Election Committee Chair -

First off, I want to thank all the Election Committee members who have been very

busy since the January Newsletter was published. We stuffed, sealed and sorted the

Ballot Packets containing the Ballots, along with the two different envelopes you need to submit your vote (BALLOT and Attendance Proxy envelopes). The packets also contained the voting instructions.

​

Here’s what we ended up with concerning these Ballot packets:

  • 2026-01-10: Picked up by Homeowners in Retzlaff Hall = 123

  • 2026-01-11: Delivered to Homeowners’ Houses = 73

  • 2026-01-13: Picked up by Homeowners in Retzlaff Hall = 19

  • 2026-01-13: Delivered to Homeowners’ Houses = 14

  • 2026-01-14: Stamped envelopes that needed to be mailed.

  • 2026-01-15: Mailed to Away Addresses = 26

  • 2026-01-15: Mailed to Sunshine Addresses = 38

  • 2026-01-15: One “Away” Address home sold to a current resident. It was already stamped so I changed the label and hand-delivered it to the resident at his new ‘second’ Sunshine address = 1

  • 2026-01-15: Held for Pickup for homeowners who were on their way back to Sunshine = 12

For a total of 306 Packets.

 

I am currently working on preparing the election ‘tally’ sheets. One set is for counting ‘attendance proxies’ and meeting ‘sign-ins’ to determine if we have a quorum to continue the Tuesday, February 17 Annual Shareholders Meeting. The other set is for tallying the votes on each of the two ballots (if we have a quorum).


The locked ballot box is outside of the SEPO Office on weekdays during office hours.

Please deposit your ballot(s) in this box prior to 1 PM on Tuesday, February 17, which is the day of the Annual Shareholders Meeting when your votes (PLEASE VOTE) are counted.

I’m sure most of you have heard how ‘very important’ it is that everyone votes in

SEPO elections, especially this year.

The proposed Covenants change in 2026 will determine

if this community can start to move forward or remain at a standstill.

I wanted to get some ‘preliminary final’ totals out to everyone today. Some shuffling of MAIL TO SUNSHINE & MAIL AWAY and HAND DELIVERY OF ORIGINAL MAIL AWAY occurred this morning before Board member Tom Perrier and myself went to the Post Office, so a couple of the totals will shift. Once I have the ‘final final’ totals I’ll let everyone know.

 

As of Wednesday, Jan 14, 2026 at 5 PM here’s what we ended up with:

  • 2026-01-10: Picked up = 123

  • 2026-01-11: Delivered to Home = 73

  • 2026-01-13: Picked up = 19

  • 2026-01-13: Delivered to Home = 14

  • 2026-01-15: Mail to Away Addr = 27

  • 2026-01-15: Mail to Sunshine Addr = 38

  • 2026-01-15: Hold for Pickup in the next few days = 12

For a total of 306 Packets.

 

The locked Ballot Box will be in front of the SEPO Office during office hours.

 

The voting deadline is Feb 17, 2026 by 1 PM at the very latest.

Sent 2026-01-12: 2026 Election: Ballot Packet Status & Next Steps -  

Hi All - We are well on our way to getting the Ballot Packets into your hands. 

These totals aren't exact because some things have changed this morning. But they are close enough for right now for you to get the gist of where we are.

​

We had about 43% of the community come to the Hall on Saturday to pickup their ballots, even though it was windy and cold. Thank you soooo much.

 

And yesterday, on a very chilly day of hand-delivery to homes (by both Election Committee and Board members - Thank you all), we brought that total up to 66%. If every one of this 66%, either sign the 'attendance proxy' on the back of the envelope that goes into the Ballot Box and/or sign in at the Hall before 1 PM on Feb 17 for the Annual Meeting, we would have a quorum SO THAT WE CAN CONTINUE TO COUNT THE VOTES.

 

We will have ONE MORE pickup day in the Hall tomorrow, Tuesday Jan 13 from 11 am to 1 PM. Due to all of the activities taking place this week, we will be sharing the hall with a Private Event before noon and the Painting Club after noon. So please be respectful of those groups when entering the hall.

 

BE SURE TO BRING YOUR ID WITH YOU.

 

On Tuesday, if you don't see the Ballot Box in front of the SEPO Office, it is in the Hall. So you can sit down, ask a Board member any questions you may have and vote right then and there.

 

At all other times the Ballot Box will be in front of the SEPO Office during weekdays when the Office is open.

 

I know this is getting lengthy, but PLEASE, PLEASE, PLEASE read the "Voting Instructions" sheet in your packet VERY CAREFULLY concerning what goes in which envelope. Remember - If your sealed BALLOT envelope isn't placed inside of the sealed 'voting attendance' envelope, that ballot cannot be counted and is, therefore, a NO VOTE.

 

Please call a Board member or myself with ANY questions at all.

See below for details concerning SEPO Election Ballot Packet pickup.

 

The Election Committee has labelled and stuffed the election ballot packets and they are ready for distribution. I want to say upfront: If you are doing business with Valerie at her office window, and you see the ballot packets on the push cart behind her, do not ask her if you can have your ballot. You cannot. Below is the formal process for getting them to you. Thank you.

 

So here goes.

I know the weather is turning against us for a few days, but please don't let that keep you from picking up your ballots. We're doing the pickup in the hall this year. Several Board members will be in attendance to answer any questions you may have.

 

When you enter the hall, there will be several tables along one of the walls. Look for the 8.5/11 signs (either taped to the front of the tables or taped on the walls) that display each Sunshine Street Name. Go to the table of the street you live on. Members of the Election Committee will be at these tables ready and waiting to hand you your ballot.

 

BE SURE TO BRING YOUR ID WITH YOU.

 

You will be required to show your ID and sign for your packet. An election committee member will sign after your signature as a witness.

 

If you do not have your ID with you, you cannot pick up your packet.

 

The locked Ballot Box will be in the Hall this year during pickup times. At all other times it will be in front of the SEPO Office. NOTE: The plan is to lock it in the office daily when the office closes, as has been done in the past. I, Election Committee Chair Beth Parrish, am the only one who has the key to the Ballot Box.

 

And, oh boy, I'm hearing there may be refreshments available for everyone. Sounds good to me.

Hi All - Some of you heard this schedule yesterday at the "Residents & Directors" meeting, but I wanted to get it out to everyone in print.

 

The Election Committee will start working tomorrow and continue on and off through Jan 15, when any ballot packets not picked up or delivered to your home will be taken to USPS to be mailed. And while I'm on the topic of home-delivery, if you know you want/need your packet delivered to your home, contact me and I will arrange to get that done for you.

 

Stuffing Ballot Packets (Election Committee) (in Retzlaff Hall):

  1. Wednesday, January 7: 1 pm – 4 pm

  2. Friday, January 9: 8 am to Noon (if needed)
     

​Pickup by Owners (in Retzlaff Hall) & Delivery to Homes:

  1. (Pickup by Owners) Saturday, January 10: 11 am – 1 pm

  2. (Delivery to Homes) Sunday, January 11: 1:30 pm – 3:30 pm

  3. (Pickup) Tuesday, January 13: 11 am – 1 pm

  4. (Delivery to Homes) Tuesday, January 13: starting @ 1 pm
    (Doing this final home-delivery and the length of time doing it depends on how many ballot packets we have left to mail.)
     

Stamp Ballot Packets (in Retzlaff Hall):

  1. Wednesday, January 14: Noon to 1 pm

Mail any Remaining Ballot Packets (USPS):

  1. Thursday, January 15: Time TBD

 

As I stated in my email earlier today, should you have questions before or after you receive your ballot packets, please reach out. I'm working to determine how many / which Board members will be available to answer questions in Retzlaff Hall on pick-up days. Some have already volunteered to help with home-delivery.

The Election Committee is shaping up nicely. It’s almost time to start printing everything for Ballot packet distribution (around January 11-13). The Annual meeting when your votes (PLEASE VOTE) are counted is on Tuesday, February 17.
 

The Women’s Club is having a Pop-Up Lunch in Retzlaff Hall, served between Noon and 1:00pm, on Monday, January 5th, right before the ‘all important’ “Residents & Directors” Meeting, which begins at 1:00pm. Lunch cost is $5, per person. Please come for lunch and stay for the meeting to greet the Board candidates and ask them questions. The proposed Covenants change will also be discussed. There will not be a separate “Meet & Greet” this year. (See “Pop-Up” flyer, below.)

Finally, I know most of you feel overwhelmed with all the SEPO emails you receive. (I can just see you nodding your head ‘yes’.) But I can’t stress enough how important it is for the entire community to open and read all SEPO emails pertaining to the upcoming SEPO election. The Nominating and Election Committees are working hard for you and the election emails help to ensure everyone understands the process and requirements for this election. Thank you so very much.

Thx to those of you (right around 100 of 304) who have replied with the data we needed. I do understand lots of you simply want your Ballot packets mailed to Sunshine and I had said no reply required. So no problem there.

 

However, I know quite a few of you aren't living here in your Sunshine home and won't be here next year either when the packets get mailed and voting is in full swing.

 

In order to give, in particular, LLCs and those renting their homes a little more time to reply, I'm granting an extension for replies until noon on Tuesday, Dec 23, AT THE LATEST.

I need to get the address to send to info to the office to print labels this week. So, if you haven't replied by the extension deadline, the Ballot packet will be mailed to your Sunshine address.

 

Again - Please simply hit 'reply' to this email with your mailing info and it will automatically go to the committee member who is tallying your replies.

Hi All – Knowing how important accurate information in the Sunshine Estates Property Owner (SEPO) directory is, particularly as it relates to the upcoming SEPO election, I need you to verify your data to ensure everyone who should be receiving a 2026 SEPO election ballot packet does indeed receive it.

 

As you’ve been hearing over the past week or so, this is probably one of the most important ballots you’ve ever been asked to vote on. If you haven’t already received it, you will be getting a letter via USPS from the Board explaining what this ballot is all about.

 

First - What the Election Committee needs is for at least one Sunshine Estates Property Owner member (someone eligible to vote) from each household to review the attached directory to ensure your Sunshine address(s) and your AWAY address (if you have one) are accurate. If the address(s) or ANYTHING ELSE needs corrected, let me know.

 

Second – Provide which mailing address (Sunshine or AWAY) you want on the outside envelope of your election packet. Any packets not picked up or hand-delivered to you by Jan 13, 2026 will be mailed to you between Jan 14 & 16 via USPS.
NOTE: If no address is specified in your reply to this email, the election packet will be mailed to your Sunshine address.

 

FYI: We need the same information for those homes that are in an LLC or currently in a Trust.

IN SUMMARY – the Election Committee needs the following info in your reply to this email:

  • Are your address(s) correct?

  • What address should go on the outside envelope of your election packet?

  • Is your ‘other information’ correct?

​Sent 2025-12-09: Preparing for "All Things" 2026 SEPO Election - 

I know - You are probably thinking - It's crazy to be talking about the 2026 SEPO Election already. But - oh contrar - it is not too soon at all.

 

The chairperson's for both the 2026 Nominating Committee (Patricia Lay) and the Election Committee (me - Beth Parrish) were approved by the board at yesterday's (Dec 8) Board Meeting. We have already begun working on our tasks.

 

As your Sunshine website Mgr, as in the past, I have added web pages to display election info ongoing.

If you think you might have missed any election correspondence over the next couple of months, I will be placing it on these pages as well.
