Thanks, Cathy ​ **************** ​ ​ ​ Birding and Nature Annual Bird Count: (01-05-19) COMPLETE ​ From Newsletter (Jan 2019): The annual Christmas Bird Count will be held on Saturday, January 5 this year. The bird count is held throughout the U.S. It is an attempt to monitor the numbers and types birds found in the United States. Our club has been assigned a specific area to monitor. We will assemble in front of the Warner's house (4117 N. Minnesota) at 7 a.m. to divide into groups. A knowledgeable birder will be assigned to each group. He or she will need a notetaker, and counters to assist. There will not be lots of walking in this activity. Join us if you are interested. ​ From SEPO E-News (01-03-19): If you are interested in joining us for the Annual Bird Count, meet at the Warner's house (4117 Minnesota) at 6:45 on Saturday, January 5th. We will divide into groups and head out to count all the birds in the area. Each group will consist of an expert in identifying birds, spotters and counters, and a recorder. No expertise required in 3 of the four positions. We hope to see all of you at the pot luck. Results of our bird count will be reported. ​ *************** ​ ​ ​ Birding and Nature Potluck: (01-07-19) COMPLETE ​ From SEPO E-News : There will be a community wide pot luck supper hosted by the Birding and Nature Club on January 7. Our speaker at this event will be Ranger George Garcia from Laguna Atascosa National Wildlife Center. He is featured in an article on page 2 of today's (Dec. 16) Valley Morning Star. He should be an interesting and informative speaker. This event was not planned as a fund raiser although donations will be accepted. Plates, plastic eating utensils, tea and coffee will be provided. There will not be a sign up sheet. We want everyone to come for an evening of fellowship and to learn about the wildlife of South Texas. Just show up with your covered dish. Doors open at 4:30. Dinner at 5:00. ​ From Newsletter (Jan 2019): Everyone is invited to the Birding and Nature Club's annual potluck dinner on Jan. 7. Doors open at 4:30 with the meal being served at 5 p.m. There is no need to sign up ahead of time and there is no cover fee. Plates, plastic utensils, tea and coffee will be provided. We request that you bring a dish to share. Ranger George from the Laguna Atascosa Wildlife Refuge will be our guest speaker. His topic should be Wildlife Native to the RGV. Please, join us for an informative evening. It is also amazing how supportive the people living in our development are of the woodworkers’ group. The Woodworkers’ Spaghetti Dinner on Tuesday, January 29, is going to be a SOLD OUT event once again. Our thanks to everyone who purchased tickets. The woodworkers look forward to serving you dinner on Tuesday. The woodworkers have held orientation classes for new woodworkers, refresher classes for monitors at the woodshop, and turning classes for people who want to make their own bowls, vases, and anything else that can be made on a lathe. The woodworkers have two meetings a month on the second and fourth Friday at 1:00 p.m. at the woodshop. February’s meetings will be held on the 8th and 22nd. Feel free to join us to meet a lot of great guys and gals, now that more women are getting involved. If you have visitors at your house, feel free to bring them to see woodshop because we believe SEPO has one of the best woodshops in the Rio Grande Valley! NOTE: The information concerning dates of registration was in error in the Jan 2019 Newsletter, so please see the corrected dates below. The cost to register is $50. This includes three days of play at our golf course, liquid refreshments during the event, door prizes, which include gift baskets and golf equipment prizes, golf tournament cash prizes and a great Awards dinner on Saturday evening. The golf tournament is scheduled for February 7th, 8th and 9th here at our golf course. We had a great day. We had 137 registrants today. The maximum number of golfers for the tournament is 160 players. That means there are only 23 spots left! ​ After we reach our maximum of 160 players, we will create a standby list of players, in case someone is unable to play on the days of the tournament. Historically this has occurred on more than one occasion. This is a first come, first serve registration. Our destination is Estero Llano Grande State Park. There is no charge from Sunshine, but the park has a $5 entry fee per person. They also rent binoculars for $3. Our seasoned Nature and Birding Club members will be there and available to lead groups on a short or longer walk. This is a wildlife area so wear sturdy shoes for uneven ground.     Activities - Women's Club ( 2019-2020: Winter) Additional Details COMPLETE Resident Photo Directory - Web site (April 2020) ​ Sent 2020-04-16: YAY - Resident Photos on Web site - Well all - I hope you are as excited about the final product as I am. I will have to say I learned a lot about the Web site during this process. One thing is - I did find there's lots of Shapes, Sizes, Color etc that I can change if anyone wants to make constructive suggestions to anything I've done with the photos. I have uploaded all of the Resident Photos that were included in the 2020 Photo Book. Thanks for your support. Many residents lined up along the Parade Route showing their support, cheering us on, tossing candy and enjoying this seasonal festivity with family, friends and neighbors. A special Thanks goes to all the entrants as their time and talent plus endurance led to this successful event. Eleven challengers vied for the prestigious Women's Club award for "best decorated". Winners were 1st Place: Terry and Rich Debackere - 2nd Place: Heidi Dill and 3rd: Kathy Walker and granddaughter Jessica. Cathy Richmond with fearless Gizmo and Share Nelson with mischievous Maggie contributed to this pet-friendly part of the entourage and the McGruffmobile was proud to have his crime fighting four legged buddies as backup. Larry Lentz and his wife Linda, (son of Alice Montgomery), new resident, new volunteer for NW Patrols and recent Citizens Police Academy graduate drove his golf cart advertising our CERT Team. Lisa (new resident) was pressed into action 30 minutes before showtime as our Firefighters were battling a field fire until the last minute - possibly not able to show up to carry Santa. Several of Santa's helpers helped dismantle her beautiful Thunderbird convertible so Santa could be chauffeured. (The reindeer had a previous engagement). Sgt. Jaime Palafox volunteered to be our lead HPD Police Car supporting efforts of our Neighborhood Watch. Bob Saylor drove the NW Golf Cart (the McGruffmobile is named after the famous crime-fighting dog Mr. McGruff). So the phrase "It takes a Village,,,," puts it mildly when you think of how many Sunshine folks were involved and our neighbors - don't forget the Choraliers, the Christmas Tree Lighting, Hot Cocoa and cookies and Santa photo op. We will be joining our neighbors at Encore RV Park. Doors will open at 1 pm with dinner being served at 2. The menu will consist of the committee making the turkeys, ham, dressing and gravy. Your contributions will round out our meal. We always have plenty of food. The sign-up sheet will come down by noon on November 25th so we can plan the shopping we need to do. Visiting family and friends are always welcome. I am desperately looking for volunteers to help make this a wonderful holiday for all those who are staying in the Estates. With many helpers, it is an easy dinner to put on. There is a sign-up sheet in the library area where you can place your name and contact number if you choose to help out. I will be looking for turkey bakers, kitchen help preparing the dressing & gravy, turkey carvers, decorating help, and clean up. If I receive enough help with the preparations , I will post a sign up sheet in the library on November 14th. Cost will be $6 per person and a dish to pass. One person, a dish to feed 6; and couple, a dish for 12. Such items as mashed or sweet potatoes, green beans, corn carrots or other vegetables, cranberry relish, deviled eggs, or other relish tray, or pie/dessert. There will be a women's club box and envelopes to fill out and put your money in. These are considered virtual tickets and we will have a list made up so we know who and how many are coming. The menu will consist of Turkey, Ham, Dressing, and Gravy prepared by the committee. For any new residents, this is a good way to get your "feet wet" and see what it takes to be part of a crew to host a party. Everyone in the Estates is welcome, as well as those family and friends who might be visiting. Thanks to: Heidi sang the National Anthem for the U.S. and for Canada. Helen recited “In Flanders Field Where Poppys Bloom”. Jean gave us highlights on the 75th Anniversary of Iwo Jima and the Battle of the Bulge. Caroline Clements related her brother’s story on his Battlefield Commission during the Battle of the Bulge. Also, Caroline provided Veterans patches for us. Sally and Lenore performed the Flag Folding Ceremony and Cathy Chajec read the script. Ron presented the Folded Flag for the Missing Man Table while John read the significance of the items on the table. The American Flag and the Canadian Flag were posted. Our Branch Flags were proudly carried by our Veterans and/or their families. Marian, Karen and Share helped with all facets including Pot Luck. It is located HERE . ​ If you have a home in Sunshine that you would like to see listed on the Sunshine website, please do the following: Send an email to sunshinecountryclubweb@gmail.com containing - Whether you are or Selling or Renting . If you are Renting, what timeframe is the home available to be rented. Address of home (# and Full Street Name). Owner(s)’ Name. Contact info – phone(s), email(s) and/or other. If the contact is a Realtor, list the name of the Realty Company and how the Realtor can be contacted. Description of home (optional). Asking Price (optional). Pictures (optional). You may send as many pictures as you want or you can send a ‘link’ to pictures you or your agent may have in a ‘cloud’ somewhere. Key things to remember about this process is - You need to keep the Web Administrator informed when you home needs to be removed from the listing page. Do this by sending an email to sunshinecountryclubweb@gmail.com . If you rent your home to someone, you must also inform the SEPO office and either you or the renter need to go to the office and fill out the ‘Renters Emergency Information’ form. (The last 2 tables called usually get their choice of dessert first.) Friendly reminder to all - take what you will eat. Invocation ????? who Ice - 1 bag 20 lbs - put in cooler with a scoop Iced Tea - Make in advance - 5 pitchers (make ahead of time and keep in fridge in Retzlaff). Coffee - Make coffee in the Bunn - someone keep an eye to refill as needed. Tables - Set up 3 tables down the middle for food - serving pieces etc. Card Table - 1 card table at the beginning for plates, KFS etc napkins S&P. ** Leave 1 table by the Kitchen window for desserts. Just cut them up - let the guests pick what they want. People tables - usually 7 with Table numbers on them. Air Conditioning - Usually we have it on 75 or so to cool off Retz - then about 2p or so check the temp - may have to be set at 70 degrees. Someone for dessert monitoring - when desserts come in - set them out etc. POTLUCK FOOD - Helpers to assist guests with food to place on table. Clean-up crew - 1. Utensils need to be washed and put up. We do not wash the dishes of the guests - they take them home to wash. 2. Wipe down tables. 3. Take the garbage out to the back of the Kitchen for proper disposal. Misc: check toilets, lights out. a/c to 79 degrees and Lock up AMEN Leave the Hall as it was found - neat and clean. Thanks. The food looked gorgeous and tasted fantastic. There were almost 80 residents present. With several little tasks, the entire plan came together, thanks to Marian's coaching, and Lupe and Valerie's assistance. Vic Hillman gave the invocation. Irene Philips did some of the decorations. Your hosts were Cathy Richmond, Judy Parker, Joy Olson, Brenda Crothers, Kathleen Sunders, Mary Grande and Nancy Lyne. Several newer residents introduced themselves, their new abode and their furry friends. (BTW Marian is 1st VP of our Women's Club and Cathy is the Treasurer). The helpers prepared the Hall, dressed the tables and assisted in placing the dishes when brought in by our residents. Clean up was easy as many chipped in.     WC Activity Directory Responsibilities (Updated January 1, 2022) ​ Set a ‘next season’ Event Planning meeting date within the first 10 days in February each year. Reserve a meeting room/area for 20-25 people for 1½ to 2 hrs. Select a committee of planners. The more people, the more ideas for the next season. Send out invites to those selected. Ask them to come to the meeting with event ideas. The attendee list should include: a. Women's Club Officers b. Women’s Golf President c. Past Chairpersons of events d. Those you feel would contribute e. This is also a good time to start involving New Homeowners. Have a blank calendar available to hand out to all participants. a. List any known events on the calendar - 1) SEPO has priority with: a) 1st - Board & Residents meetings b) 2nd - Good Neighbor Golf Tournament 2) Women’s Club Activities have the next priority a) You should try and work around the following – i) Harlingen concert series (Lassey may be able to help with this.) ii) Sunshine RV Park (Encore) Concerts (check with Encore Activities Director) iii) Sunshine RV Park (Encore) Events (Lenore Combs may be able to help with this.) 6. Women's Club By-laws require one event every month from October through March. 7. At the meeting: a. Get ideas for every event. If a theme is required/desired for an event (such as the New Homeowners’ Party) it is the Chairperson(s) choice to determine theme. b. Set dates for every event. c. Try to get Chairpersons finalized at the meeting or get suggestions of Chairpersons to follow up with. ​ 8. The Women's Club President must submit the Events with their Dates to the SEPO Board (by the deadline the board specifies, which is normally the March Board Meeting ) for approval. 9. After approved – a. The Activity Director puts the events in: i. a SEPO Community E-Mail (sepoenews@gmail.com ) ii. the SEPO Inside Sunshine Newsletter (seponewsletter@gmail.com ) b. The SEPO Web site administrator posts the information on the web (www.sunshinecountryclub.com ). 10. When the Chairpersons have volunteered, give them each a copy of the Women's Club Activity Committee Guidelines & Checklist documents . a. Copies of these are available in the Women’s Club file cabinet in the SEPO office and on the SEPO Web site Guidelines & Checklist page. 11. Be sure to attend each event’s first committee planning session and as many meetings after that as you feel necessary. 12. Committee Signup Sheets (in the library) - a. Current season’s sheets - i. Leave all sheets posted until after the last event of the season. ii. After an event is complete, put an ‘Event Completed Successfully’ sign over the committee signup sheet. iii. After the last event of a season take down the original sheets and - 1) Put the original sheets in each event’s documentation folder in the Women's Club File Cabinet. 2) Put one copy in each event’s documentation folder maintained by the Activity Director. 3) Give one copy to the Historian for her records. b. Next season’s sheets - i. Create the sheets as soon as events/dates have been approved. (LaDonna Harvey is usually willing to create these.) ii. Post them in the library as soon as the current season’s sheets are removed and send an e-mail to encourage volunteers to sign up. iii. In fairness to the Monitors, if there is little activity, they may close early, so if you wait until 5 minutes before closing time you may be disappointed. If you have a crisis need, you can contact any Monitor to find a time other than the above. Enjoy the summer. Orientation: Woodshop orientation for new residents, contact John Chajec, 708-280-8940. Meetings: Woodworker Meetings are the 2nd Friday of every month beginning October through March. Cleanup: Woodshop cleanup is the first Tuesday of the month at 8 AM. Details: No fee (most HOAs, RV resorts charge a fee). Shop is open to members year around. Shop is a 40' by 60' building. Woodworking building holds the latest and some of the best woodworking tools around. The lathes are used often. Members can work with power equipment after attending a Safety and Information class. Every 1st Wed of the month is shop cleanup @ 8 am. The Woodworkers sponsor a Spaghetti Dinner every winter for the residents. Sure enough, in these pictures you can see our own Vic Hillman hard at work. The woodworkers can work much more safely now. Suzie told me they shut down in a nano-second when flesh contacts the blade! We have 2 of them. Beth Parrish SEPO Web site Admin ​ (FROM Newsletter: 03-2020) Woodworkers' Club Report - The Woodshop now has two SAWSTOPs (see pictures below) up and functioning; and both saws are paid for!! Our thanks to the SEPO residents/Woodshop Members who supported the fundraising effort to pay for the second saw after the Woodworker’s treasury paid for the first saw. Our thanks to Pat Harvey for leading the SAWSTOP effort and his committee members who put in hundreds of hours transitioning from the older table saws to the SAWSTOPs. Jack Berning, Richard McCorkle, Kelly Kennedy, Steve Valmossoi, Vic Hillman, and Vern Luellen are thanked for helping with the installation of the new saws. The minutes will stand approved as read. Cathy Richmond presented the treasurer’s report stating Total Income as $6168.60, Total Expenses of $5536.93 and the bank balance is $26,155.40. The report will be filed for audit. New Residents There were no new residents present at today’s meeting. COMMITTEE REPORTS ​ Lenore Combs reported on the Neighborhood Watch activities; the next Neighborhood Watch meeting will be March 18th at 3:00 p.m. She announced the following: There will be a class on “active shooter” in the future; details will be announced at a future date. AED maintenance tests have been completed. Best practices for the Vendors program are being reviewed. A new form has been designed for personal medical information to be placed in a red envelope; this replaces the Vial of Life form; this will be proposed to the SEPO board at a cost of approximately $90.00. A South Texas All Hazards Conference will be held March 27-28 in the McAllen Convention Center. Vickie Jones reported on the following: The Ronald McDonald charity dance held last night has netted $1400 with more donations coming in. A planning meeting for activities for next season (October 2019 through March 2020) will follow this meeting; the planned activities need to be presented to the SEPO Board next Monday. Casino Night Report: Dale Hopfner and Sherri Gardener thanked everyone for their participation in Casino Night; they noted this activity has generated over $20,000 over the past six years for the Women’s Club. Old Business Deb Robbins stated the Media System is installed and functional; information and instructions for use are on the SEPO web site. She indicated that if deemed necessary tan covers for the TV’s can be purchased for approximately $30.00 each. President Anderson thanked Deb and her committee for working on this project. Lassey Dahlstrom continues to work on the video presentation of SSCE activities. There will be another committee meeting next Wednesday at 4:00 p.m. She stated it is an evolving project and hopefully it will be completed on the target date of March 2020. New Business Last month there was an inquiry regarding developing a SEPO photo directory; to date, volunteers for a chairperson and committee members have not come forth.. A member inquired about purchasing a Fire Pit; it was determined this would be a SEPO Board decision. An amendment to the Women’s Club bylaws for Article V, Section 4 regarding an annual audit of the treasurer’s books is proposed. The current bylaw reads…books shall be available once a year for an official audit; the proposed amendment to the bylaws would read: …official audit to be conducted on March 1st of each year and in the event the treasurer changes, at the time the books are transferred to the new treasurer. This amendment will be voted on at the October 2019 meeting. Concern was expressed regarding the kitchen stove/oven. Several members stated they were afraid to use it and didn’t feel safe using it. A motion was made by Marge Lehman and seconded by Karen Peterson to form a committee to develop pros and cons of keeping or replacing the current stove. Mecca Henry volunteered to chair the committee and Sherri Gardner and Linda Jones volunteered to serve on the committee. A motion was made by Mary Hendricks and seconded by Linda Jones to purchase 3 additional pool lounge chairs; the cost would be approximately $300.00 per chair. Motion carried. Helen Perry stated the 2 large heaters do not work; this concern should be placed in the suggestion box as it is SEPO’s responsibility for authorizing repair work. Members voted to post the minutes of the Women’s Club meeting on the SEPO web site as suggested by Beth Parrish. Linda Jones announced clear cups have been added to the kitchen inventory. ​ Share Nelson announced there is a benefit luncheon for Loaves and Fishes on April 2nd; the cost is $45.00. She announced the following: ​ The front gate code will change to 0214# Encore Neighborhood Watch is releasing the chain for special events; however unauthorized individuals messing with the chain could be charged with criminal mischief. Concern was expressed about golf carts, autos, etc. in violation of the one way traffic sign; there has been an initiation of police involvement for this infraction. Guest tags are available for visitors as well as vendors. All Hazards Conference will be held March 27-28 in McAllen. Harlingen Citizens Police Academy class will be coming soon. Vickie Jones reported on the following upcoming activities: New Homeowners Party and the Art Show were great successes. Deb Robbins and Tiffany Prater are chairing the March 14 party; they have decided to not have a potluck; the dance with Wade Prater’s band will be from 7 - 10 pm. A good will donation will be taken for the Ronald McDonald house. More information will be forthcoming. There will be a St. Patrick’s Day party on March 17 in the pavilion; more information will be published in the future. Dale Hopfner stated the Casino Night is sold-out. Check SEPO emails for individuals offering tickets for private sales. Old Business President Anderson announced that 2 70 inch TV’s will be purchased Monday for mounting in Retzlaff Hall. Lassey Dahlstrom continues to work on the video presentation of SSCE activities. She stated it is an evolving project and will extend into next year. New Business Jean Lawrence brought up a concern regarding the Memorial Book and Board; the names are placed in the book / board IF money is donated in that individual’s name. It’s been discovered that 7 out of 18 names were not included in the book due to no money donated in memory of the individuals. Jean Lawrence made a motion that the Women’s Club donation of $5 so the names can get in the book. Motion seconded by Sue Stinnet. Jean then requested to amend her motion and recommended publishing the deaths in the SEPO newsletter as a means of tracking the names and the Women’s Club give a donation of $50 at the end of the year so names can be entered in the book. Cathy Chajec seconded the motion. Motion carried Linda Jones distributed a list of 5 different sweeteners stored in the pantry; members were asked to indicate their preference and hopefully the inventory can be decreased. Waynette Kennedy inquired about the possibility of having a photo directory; this topic was tabled and will be discussed at the March meeting in anticipation of developing a committee for this project. Heidi Dill brought a sample of some of her crafts and polled the members present if they would be interested in forming a Crafting Club; she’s looking at 2 hour sessions one time per month. Many members present indicated by raise of hands a high interest in this activity. Linda Abernathy is resigning her position as editor of the SEPO newsletter. Beth Parrish volunteered to take the editor position after Linda’s resignation date is final. Karen Baase announced there will be a memorial service for Joe Millsap on Wednesday, February 20th at 11:00 am in Retzlaff Hall. She stated the date change is to allow residents to attend the Winter Texan Appreciation festivities on January 21 from 1-5 p.m. at Casa D’Amistad. Lenore also outlined the agenda for the January 28th Neighborhood Watch Meeting. Vickie Jones reported on the following upcoming activities: New Homeowners Party is Tuesday, January 22; the cost is $10.00 per person. There are 18 new home owners and to date 120 residents have signed up to attend. Vickie distributed a “Wish List” for donations to the Ronald McDonald House in Harlingen which lists a variety of items need to support this charity. Grace Clark made a motion that the Women’s Club donate up to $5000.00 to this charity; motion seconded by Sylvia Nelson. Discussion followed; a vote was taken with only one vote in favor and all other members opposed. The motion failed to pass. The March Mystery Theater party has been canceled and will be replaced with a potluck dinner followed by Wade Prater’s band providing the entertainment. This is scheduled for March 14, 2018. Debbie Robins and Tiffany Prater will be chairpersons for this activity. Susanne Ulrich made a motion, seconded by Share Nelson, that a free will offering for the Ronald McDonald house be collected during this event. Motion carried. Vickie stated the art show “Young at Heart” will be January 26 from 6 – 9 p.m. and from 10 a.m. to 4 p.m. on January 27. There is no charge to attend; there will be a silent auction on Saturday evening. Kathleen Sunders stated 70 dinners and 6 to go dinners were provided for the Christmas Day party. The profit for the Women’s Club was $164.00. Pam Lacy reported that 118 tickets were sold for the New Year’s Day brunch; the profit for this event was $328.00; she thanked her committee for the success of this new event. Sherri Gardner reported on the Casino Party scheduled for February 23. She stated there is a need for donation of more prizes and also additional help is needed in the kitchen. Beer and wine, plus a dessert bar will be available during the night. She announced that she and co-chair Dale Hopfner will be resigning as chairpersons of this annual event and encouraged other residents to step up to this Women’s Club very profitable event. OLD BUSINESS Debbie Robbins reported on the research completed to date on upgrading a media system for Retzlaff Hall. She stated the sound system has been checked out and it does not need any upgrading. She stated that to install two 70 inch television sets with surround sound would cost approximately $3000.00. Discussion ensued regarding a problem with live streaming; its was noted that Spectrum would need to assist with this. Nancy Luellen made a motion to continue pursuing options available for installation. Motion carried. She asked for suggestions on how to improve the neighborhood watch program. The front gate code will be changed on Valentine’s Day and will be 0214#. She also talked about data being collected on speeding, non-stops at stop signs, etc. The information will be forwarded to the SEPO Board as they consider the pros and cons of speed bumps. Lastly, she distributed light activated bands to be worn when walking at night. Vickie Jones reported on the following upcoming activities: The tentative date for the New Homeowners Party is January 8; it will be chaired by Vickie Jones and Eileen Anderson. The art show “Young at Heart” will be January 26; Items will be for sale and there will be a silent auction. Vickie also indicated the Ronald McDonald house is in need of donations; Vickie has a list of needed items and she will bring more information to the January meeting. She received a request from Lupe that when the stove/oven in the kitchen and the grill are used, they need to be cleaned immediately after use. Janis McFee announced a $50.00 donation from Goofy Golf activity was donated to the Women’s Club. Mary Hendrickson stated 108 residents were present for the Thanksgiving dinner. There was no report from the Leslie Blasing concert; members present indicated it was well attended and enjoyed by all. Jane Olson announced the December 15th Bake Sale / Craft Raffle was well attended and resulted in successful sales in the amount of $1419.45. Lenore Combs spoke briefly about the Golf Cart Parade and Cookie Contest. She thanked her Santa’s Elves and announced the winners for cookies and golf cart entries. First, second and third prizes were awarded. (Report Attached) OLD BUSINESS Lorraine Lewis stated 44 residents participated in the Salvation Army Bell Ringing; This year’s collections exceeded last years with intake of more than $1300.00. Beth Parish stated she has not started on the work for the media system; she will have a committee meeting after the 1st of January. Lassey was not present to discuss the video production; residents were encouraged to look for good pictures to forward to her. Vickie Jones talked about the pool chairs; by turning the fabric over, the foam that retains water can be removed. It is suggested that be done and then in the future set a timeline to replace the chairs in the next few years. NEW BUSINESS Vice President McFee requested that residents who become aware of residents needing cards for illness, sympathy, etc. send the names to her and Cathy Richmond. Beth Parrish encouraged members to put suggestions on which streets they would like speed bumps in the suggestion box located in the office. She also stated the resident directory is up and running on the SEPO web site. Pam Lacy encouraged residents to attend the New Year’s Day Brunch; the food will be furnished by the committee and in addition to food they have fun activities planned. Dale Hopfner reminded the members that the Casino Night committee would appreciate donation of prizes. Tim Elliott requested the announcement be made regarding a meeting on January 2 at 5:30 pm at City Hall regarding proposed plans for Tony Butler Golf Couse and encouraged SEPO residents to attend. A gift was given to the individual randomly selected for wearing her name tag (Paula Tramel). The minutes of the October 19, 2018 meeting were read by Secretary Linda Almond. The minutes will stand approved as read. Cathy Richmond presented the treasurer’s report stating Total Income as $657.02, Total Expenses of $00.00 and the bank balance is $23,992.73. The report will be filed for audit. Aida Leach, current resident on Missouri, was introduced as it was her first attendance at Women’s Club. COMMITTEE REPORTS Lenore Combs reported on the Neighborhood Watch activities; the next Neighborhood Watch meeting will be November 19. She also spoke about the upgrade to the McGruffmobile; asked for someone to assist with the monthly maintenance of the Neighbor Watch generator and announced the Stop the Bleed kits are located in the woodshop, Manny’s work area and the SEPO office. (Report attached) Marsha Santow reported on the Shrimp Boil held on October 27, 2018. There were approximately 30 less attendees than last year; the profit was $657.02 . Lenore Combs stated the Veteran’s Day program and potluck was a success and thanked Carolyn Clements and Helen Perry for their presentations. Vickie Jones reported the following on upcoming activities: Two events, Christmas Dinner, and the New Homeowners Party, are in need of volunteers for chairing these events. Goofy Golf is scheduled for November 18 and the Leslie Blasing Concert is scheduled for December 6th from 6 – 8 p.m. The posters for every event are to remain on the bulletin board even if the event has concluded. Janis McFee announced Goofy Golf is planned for Sunday, November 18 at 2 p.m. 100 players have signed up; there is a “spare list” posted if a space opens up. The “bring your own picnic lunch” will be at approximately 4:30 p.m. Mary Hendrickson stated between 65– 70 have signed up for Thanksgiving dinner. She stated turkey, ham, gravy, stuffing and drinks will be furnished. Doors will open at 1 p.m. and dinner will be served at 2 p.m. Mary Dronen – Announced the Memorial Committee provided 6 lunches this year. For the historian book, she would like to have photos of summer activities forwarded to her. Dee Novak noted that more information on the December 6th Leslie Blasing Concert will be forthcoming. Jane Olson announced the Bake Sale / Craft Raffle will be on December 15th; the doors will open at 8 a.m. So far, only 3 have signed up to help so there is a need for more volunteers. The baked goods should be packaged and priced. Crafts can be set up Friday night. She requested gently used items be donated for the raffle. Lenore Combs said the Golf Cart Parade will be December 15; staging will be at 4:30 and the parade will start at 5 p.m. The parade will go down every street here. At this point Encore will not be involved however Lenore and Helen Perry volunteered to work on this with the SEPO board. OLD BUSINESS Irene Philllips stated she now has help with watering the plants at the front gate. She has researched a “drip” system which would cost about $200.00. After discussion Vickie Jones made a motion to form a group of volunteers to further investigate how to work on solutions to improve the décor. Motion was seconded by Sherri Gardner. Debi Warner volunteered to serve on the committee and a suggestion was made that Ralph Peterson be approached to assist with this project. To volunteer, contact Irene Phillips. Lorraine Lewis requested that SSCE residents please adopt angels for the Christmas Angel Tree. The angels can be procured at local businesses or contact Lorraine and she will get them for you. NEW BUSINESS President Anderson discussed the issue of the pool lounge chairs; they are 5 years old and are in need of repair. The estimated cost to repair is $45 per chair and replacement is approximately $185.00. Repair would probably last a year or so. President Anderson and Vickie Jones volunteered to conduct a cost analysis for repair and replacement. Joyce Smith reported on Ladies Golf; dues are $25.00 and she encouraged more women to join. The Las Vegas scramble will be December 8th followed by a potato bake. Cathy Richmond announced a request for a microwave oven on a cart for Thursday Night Happy Hour. Kay Sluyter donated her microwave; a cart will need to be purchased as the current number of carts are needed for events in the hall. Discussion was held on the need to update the media system for Retzlaff Hall. A motion was made by Pam Lacy to have volunteers investigate options; The motion was seconded by Sally Hardy. Beth Parrish volunteered to chair the committee; Lassey Dahlstrom volunteered to serve on the committee. Lassey Dahlstrom would like to put a video presentation of all activities SSCE together; She will have a meeting at her house on November 20th at 2 p.m. Irene Phillips volunteered to help and it was suggested Warren Hertel be invited to attend. Beth is also taking over the SEPO Web site (www.sunshinecountryclub.com ) for marketing purposes and updating the activities tab. She is working on inclusion of the SEPO board minutes which would be private and only accessible to SSCE residents. Jan Anderson announced that Mahjong is scheduled for Saturdays from 6:30 to 8:30 pm in the Library and Tuesdays from 1 – 3 p.m. in the card room. Cathy Chajec reported for Marsha Santow on the Shrimp Boil scheduled for October 27, 2018. Virtual tickets are on sale now for $10.00 per person. Volunteers are needed to assist with clean-up. She indicated attendees could dress up for Halloween if desired. Social hour starts at 4:30 p.m. with dinner at 5:00 p.m. President Anderson reported for Vicki Jones on upcoming activities: Veteran’s Day will be honored on November 12; Lenore Combs stated the flag burning will be at 4 p.m. and veterans are needed to help with colors. Lenore will be working with other residents relative to having a potluck after the Veteran’s Day ceremony. Janis McFee announced Goofy Golf is planned for Sunday, November 18 at 2 p.m. The contest will be in the same format as the previous contests. A “bring your own” picnic lunch will be held in the pavilion at approximately 4 p.m. President Anderson announced the Thanksgiving dinner will be on Thursday November 22. Bob and Mary Hendrickson are chairing that event and details will be announced at a later date. Irene Phillips reported on the new garden area outside of the SEPO office and her activities related to caring for the plants and other greenery at the SSCE gate. Her report is attached to these minutes. Discussion ensued for using a professional landscaper for the front gate area; it was suggested this item be placed on the November agenda as there will be more residents in attendance to share their thoughts. It is likely if this avenue is pursued, the SEPO board will need to be involved in the discussion, and decision. The Memorial Lunch Committee needs additional members; Please contact Karen Baase for more information. OLD BUSINESS There was no old business on this meeting agenda. NEW BUSINESS Lorraine Lewis spoke about the Salvation Army bell ringing that will be held at Walmart on November 23rd. She needs approximately 40 individuals to volunteer 1-2 hours from 9:00 am to 7:00 pm. that day. Sharon Schaub stated due to a change in leadership at the Salvation Army SSCE will not be participating in the Angel Tree giving at Christmas this year. Lenore Combs gave a presentation on Wreaths Across America. Harlingen will participate in this event which is scheduled for December 15 at 11 a.m. at Pendelton Park. Ten (10) cemeteries will be participating in this event. Additional information will be forthcoming. A gift was given to the individual randomly selected for wearing her name tag (Cathy Chajec). Please call with any issues or questions. - Share Nelson, SEPO Board President ​ Sent 2023-03-25: New Access To Kitchen Area - NEW ACCESS TO KITCHEN AREA New keypads have been installed on the door leading into the kitchen from the outside and on the small supply closet just outside of the kitchen door in Retzlaff Hall. A master code will be held by SEPO. When hosting an event or otherwise needing access to the kitchen, a temporary code can be obtained from Valerie in the office. Keep in mind, if there is a weekend event, you should obtain the temporary code prior to Valerie closing the office on Friday. In the event, you have an unexpected need to access the kitchen and Valerie is not available, the President of Women’s Club will assist you. The temporary code will be deleted the following Monday or in an otherwise timely manner following weekday events. Upon leaving the kitchen, the interior doors will be closed and must be physically locked, from inside the kitchen and people will exit from the kitchen to the outside after physically locking that door. If you oversee closing the hall, lock the doors, and exit through the kitchen as described above. The kitchen area is currently open on weekdays from 7:00 a.m. until 3:30 p.m. If a person in charge of an event wishes to lock the freezer, that person must check the key out from the office. If the freezer remains unlocked, there are cameras in place for security in the hall including the kitchen and storage room which can be reviewed for up to three months, if necessary. It has come to our attention that there might be another avenue to investigate to possibly get these rates reduced and we think the former mayor may be able to help us. The meeting will be held at Mary David’s residence, in Combes, at 19958 Poplar. She is also concerned about the high water rates that ALL Combes residents are experiencing, and the potential rate increases to come. The meeting will be held at her house on March 29 at 4:00 pm. Anybody who needs a ride let us know, our car holds 6. Maybe some others could help with rides over there also. Mary has been gracious enough to offer to host a meeting of just the SEPO residents that reside in Combes. It will not include residents who live outside of SEPO. We hope you all can come and listen.
